Thank you for choosing Vanilla Cloud Cakes for your event! Please take a few minutes to read through all of the terms and conditions below. By ordering from Vanilla Cloud Cakes you are agreeing to the following terms and conditions. 

Basis of Sale 

Any samples, drawings or descriptions given are solely to provide you with an approximate idea of the cakes they describe. 

Cake sizes quoted are in inches and are based on the diameter of the cake. All cakes are 3 layers of sponge as standard. If you would like a deeper cake this needs to be requested at time of booking. 

No booking is complete until the customer has received the booking confirmation form and the required deposit has been paid. 

The Cakes 

We warrant that on delivery or collection of the cakes, they shall conform to their description as set out in the order confirmation. Therefore it is the customers responsibility to ensure all details within the order confirmation and sketch (if applicable) are correct and meet their exact requirements. 

The cakes will be provided with a delivery note including storage instructions. Vanilla Cloud Cakes will not be held responsible for any damage or defect in the cakes arising from failure to follow instructions by you or any third party. This includes damage from environmental factors, for example the melting of buttercream cakes due to hot weather or inappropriate storage. The cakes are a fresh product containing no additives or preservatives and it is our right to assume consumption on the day requested.

The cakes are made in a home kitchen environment where nuts, milk, egg, gluten and other allergens are present. We cannot guarantee that any cake is entirely nut free although we make every effort to ensure allergies are accommodated. 

Stacked cakes contain dowels in each tier to provide support and these should be removed before eating. 

We do not advise that handmade decorations such as figures or sugar flowers be eaten due to the possible presence of dowels and wires for reinforcement. 

We cannot guarantee an exact replica of any cake, but we will do our best to do so. Where colour swatches are provided we will do our best to match as close as we deem possible. Exact colour matches are not guaranteed. 

Fresh flowers will be not be included in the price of any wedding cake design. These will be provided by your florist. Some flowers are not suitable for use as cake decoration. Please ask your florist for details regarding toxicity. Vanilla Cloud Cakes will not be liable for any contamination to our cakes that may arise from their misuse. 

Delivery & Collection 

All orders may be collected free of charge from Vanilla Cloud Cakes. We accept no responsibility for any damage sustained to the cake once it has left the premises. The cakes will be in a cardboard box, please be aware the sides are flimsy and therefore should always be held on the base. The cake should always be kept level and should not be placed on a seat in the car. The cake should be placed either in the boot or the foot well. 

If delivery is requested we will deliver the cake on the day set out in the order confirmation to the address provided. A charge will be made based on mileage. 

When delivering to a wedding venue, we will contact the venue in advance to arrange a convenient time for delivery and set up. Once the cake is set up, where possible we will obtain a signature from the venue confirming the cake has been received in good condition and a photo of the cake will be taken. We do not take any responsibility for any damage sustained to the cake thereafter. 

Postal Boxes

Vanilla Cloud Cakes will not be held responsible for any delays in delivery or damage caused to postal box orders once handed over to Royal Mail.

Price & Payment 

The price of the cake will be set out in the order confirmation. For all wedding & celebration cakes a deposit of 30% will be required to confirm your order. 

Final installments for wedding cakes will be required one month prior to the wedding date. 

Final installments for celebration cakes can be paid either by cash on delivery or via bank transfer the day before the event. 

If payment is not received by the date specified we reserve the right to hold the order until payment is made in full. 

Cancellation, postponement and alterations 

In the event of cancellation by yourselves the charges are as follows: 

More than 12 weeks before the event : deposit retained 

12 - 4 weeks before the event : deposit plus half remaining cost 

4 weeks or less before the event : Full payment due 

In the event of a postponement, assuming availability, we will carry the monies over to the new date at our discretion. 

We understand that situations may occur which can result in the customer wanting to change their order. Alterations to the design of wedding cakes can be made up to 2 months before the event date. Celebration cakes can be altered up to 2 weeks before the event. 

Cake flavours may be altered up to 2 weeks before the event. Except in the case of Luxury fruit cake where alterations cannot be made once production has commenced.

 In the case of both wedding and celebration cakes, alterations are dependent on time availability. 

Alterations are not confirmed until an updated order confirmation has been received. 

In the unlikely event that we need to cancel your order any monies paid will be refunded. Vanilla Cloud Cakes reserves the right to cancel, vary or suspend the operation of this contract if events occur which are out of our control, such as fire, flood, storms, pandemics, non-availabilty of materials/ ingredients etc and will not be liable for any breach of contract resulting from such events. 

General Terms 

We reserve the right to use images of your cake for any form of advertising. Photos will only be used after the event has taken place.
